What that saves

By hand, then our target to review one.
~16hrs
back each month
8 questionnaires × 2 hours saved.
$57
all in per questionnaire on the monthly plan
The plan plus an hour of review. About $96 by hand.
Estimates, since no supplier has used it yet. We assumed 3 hours by hand for a 150-question form, a 1-hour review and $32 an hour, about what a QA coordinator costs with benefits.
How it works
Add your documents and the form
Plans, certificates, specs, past answers, and the customer’s Word, Excel or PDF file.
SpecReply AI fills it in
In the customer’s own file, with a source on every answer.
You review and send
Anything it can’t back up stays blank for you.
Where each answer comes from
One customer’s form in, the same file back, every answer traced to its source.
Other ways to do this
| Way | At 8 forms a month | The catch |
|---|---|---|
| Send your standard pack | $0 | Plenty of customers still want their own form. |
| Master answer spreadsheet | About $770 in staff time | You still copy every answer across by hand. |
| Part-time QA coordinator | About $2,800 | It works, but it’s a big step for forms alone. |
| General AI chat tool | About $25 a seat | You still move every answer into their file and check it. |
| Supplier portals | Often free to suppliers | They only cover forms inside that portal. |
| SpecReply | About $455 with review time | Fills their own file and shows the source of every answer. |
Staff time at $32 an hour. Rival prices checked November 2026.

Questions
Can we use SpecReply today?
Not yet. It’s in early access, so there’s no sign-up. Email hello@specreply.com to ask.
Does it replace our QA person or PCQI?
No. Your QA person reviews every answer, and your company stays responsible for what it signs and sends.
What if our documents don’t answer a question?
It leaves the question blank and tells you. It doesn’t guess.
Which forms does it work with?
Word, Excel and PDF, filled in the customer’s own file. It doesn’t log in to customer portals, so portal answers stay with your staff.
Where do our documents go?
We store and process them in the United States and use them only to provide SpecReply to you. They aren’t used to train AI models.Privacy PolicySecurity
